Chapter 1 of 6
The brief
GrandWest wanted a trusted way to sell packaged deals online, such as a kids' combo of a movie, a meal and an ice cream, and to manage their redemption across the many outlets in the precinct.
It needed one central platform that prevents fraud, checks every voucher in real time and gives vendors a simple scanning tool; monthly reporting, exportable data and insight into guest behaviour; and a system that is secure, scalable, mobile-friendly and backed by 24/7 support, with room to add packages and rules over time.
Who it serves
Guests who buy a bundle and redeem each part at their own pace, the vendors who scan it, and GrandWest, which needs to see sales and redemptions across every outlet.

The idea

Never miss a beat. Share the party.
One digital platform on web, Android and iOS where guests buy combo deals, receive secure digital vouchers and redeem each item when they choose. Every voucher carries an encrypted QR code that is checked in real time. Vendors log in from any smartphone to scan it, and GrandWest gets reporting on sales, redemptions, outlet performance and guest behaviour.
- Sell bundles online, with live availability
- Stop duplicated and fraudulent vouchers
- Give every outlet a simple scanning tool
- Reconcile every redemption against its sale
- Report on sales, outlets and guest behaviour
- Add packages, outlets and features over time

Chapter 4 of 6
Every part of the platform, in detail
Six building blocks, from the first sale to the last reconciliation, and the people who keep it running on event days.
Combos and salesfrom R350
GrandWest can create any packaged deal, from a single-outlet offer to a multi-item combo such as a kids' fun pack of a movie ticket, a kids' meal and an ice cream. Guests can buy several combos in one go (three packs for three children) and the system issues the right number of vouchers for each item. Package contents, prices, availability and rules can change without downtime.
The mock-up shows a kids' movie combo from R350 and a kids' magic combo from R450.

A voucher for every item15 s
Each item in a combo becomes its own voucher with a unique QR code, and there are two ways to set it up. A static code can be printed or shared, but anyone who gets hold of it can redeem the voucher, and it is open to screenshots and duplication. A rotating code refreshes every 15 seconds and cannot be printed, saved or forwarded; the guest needs their phone and an internet connection to show it.

Redemption on any phone
Each outlet gets a vendor account. Staff scan the guest's code with any smartphone on Wi-Fi or mobile data, with no special hardware, and the system checks for duplicates, expired vouchers and items already redeemed before it approves the scan. Every vendor sees its own redemptions by day or date range, for quick reconciliation.

Payments
Payments run through Adumo Online, a South African payment gateway with PCI-DSS and ISO certification. Card details are tokenised and processed in Adumo's environment, so no card data is stored on the platform. Guests can pay by card, EFT or scan-to-pay, with instant confirmation even at peak times.
Reporting and messages
An admin-only dashboard, behind a secure login with role-based permissions, shows live graphs and metrics, exports to Excel in one click and generates reports for stakeholders. An API links the platform to GrandWest's MVG database. Guests hear from GrandWest by email, WhatsApp, push notifications, SMS and in-app messages: purchase confirmations, voucher reminders, new packages and event updates.
People on the ground24/7
The team works as an extension of GrandWest, with a dedicated client service representative:
- Training for box office, admissions and support staff, with guides, videos and peak-pressure simulations
- Admissions flow and gate strategy planned around expected footfall and the venue layout
- Risk planning for peak arrival times and high-density scenarios
- On-site technical support and extra staff at key access points for big events
- 24/7 customer support during peak event windows and ticket sales
- Fraud monitoring, refunds, chargebacks and daily settlements with Adumo
- Onboarding, guided set-up of the first event and ongoing optimisation
- Post-event performance reviews
Chapter 5 of 6
Room to grow: events, seats and the door
As added value, the same platform could run event ticketing with reserved seats, a cashless wallet, access control at the gate and a loyalty layer across the complex.

Tickets, seats and sharing
Event ticketing with reserved seating chosen on a map, and tickets that guests send to friends by WhatsApp, email or SMS. Every ticket is linked to the guest's Digital Passport QR code, which also covers cashless payments, prize claims and identity checks during the event. A shuttle can be booked in the app from selected pick-up points.
At the door
Access by passport QR code, RFID wristband or facial recognition. Staff can link a one-time RFID wristband at arrival as a backup if a phone dies or loses signal. At entry, a facial recognition image is stored securely with Microsoft Azure Face ID; at exit, if the face does not match, the guest taps the wristband or scans the passport, and support staff help if that fails too.
As an option, the tender offered a Grand Quest loyalty layer on top: points, leaderboards, surveys, polls and custom games.
